  • Change a price straight from Food cost. Type a new price next to any dish and it shows you what that does to its food-cost % as you type. Hit Update and it writes to the menu — so the till, the online store and every channel all move together. It asks you to confirm first, and shows exactly what is changing from and to.
  • What’s new is now its own page under Setup, instead of hidden inside Settings.
  • The sales summary fits on iPad. The venue name was wrapping onto four lines and your Tips figure was being cut off the edge of the card entirely.
  • Buttons like + Add staff now match the rest of the design instead of looking like plain boxes.

  • Quandoo bookings can now land in your diary by themselves. When Quandoo emails you a confirmed reservation, FillTables reads it and creates the booking — name, party size, date, time, phone and any note, with the area recorded too. No re-typing.
  • It cannot double-book. Each booking is matched to Quandoo’s own reservation number, so the same email arriving twice (or the system re-checking your mailbox) still makes exactly one booking.
  • If an email ever arrives in a shape it doesn’t recognise, it makes no booking and records that it couldn’t read it — it will never guess at a time or a party size.
  • Off until you ask for it. Tell us to switch it on for your venue and it starts on the next booking.

  • Your inbox now shows all of it. It was only ever showing the newest 30 emails β€” your mailbox has over 15,000. There are now Inbox / Drafts / Sent tabs and page buttons at the bottom (20 per page), so you can reach everything.
  • Each email shows a preview line under the subject, instead of the subject alone.
  • Still read-only: opening the inbox never marks anything read and never deletes.

  • Behind the scenes: your updates are now genuinely tested before they reach you. Every update is meant to be installed on our own demo cafΓ© first, and only then offered to you. We found that check could pass without the update actually being installed β€” so it has been tightened: it now only counts when the demo cafΓ© has really unpacked and restarted on the new version. This is the first release to pass the stricter check.
  • Nothing changes on your side β€” no new buttons, no settings to touch. Same tills, same dockets, same receipts.

  • The kitchen docket now has a live preview while you edit it β€” same as the customer receipt. In Settings β†’ Receipts β†’ Kitchen docket, flip the banner or retype its text and the on-screen paper changes as you type, before you save. What you see is the exact layout the printer produces.

  • Receipts can print a scan-to-join loyalty QR. Under the coffee-club block: members get a QR straight to their card, everyone else gets the join page β€” the fastest way to grow the club from the counter. Off by default: switch on in Settings β†’ Printing β†’ "Print a scan-to-join loyalty QR on receipts", then run a Test receipt standing at the printer.
  • The counter screen's idle nudge now reads correctly for a buy-9-get-the-10th card that covers matcha too.

β˜• 27 July 2026 v2.32

  • The stamp card now matches how the cafΓ© actually runs it. Two changes, both owner-requested: the card can span more than one menu category (Glider Garden's covers Coffee and Matcha β€” buy 9, the 10th is free), and it can be fenced to takeaway & online pickup only, so dine-in table orders don't earn or redeem stamps. Both are settings in Money β†’ Gift cards β†’ Loyalty β€” pick categories as chips, and choose which orders earn.
  • The two retail coffee-bean bags were removed from the menu (never sold once online; they were also earning coffee stamps).

✨ 27 July 2026 v2.28 – v2.31

  • Hardening behind the scenes. Web crawlers and bots probing the ordering site could quietly create junk records in the system's venue list β€” six had accumulated. That door is closed, the junk is cleaned out, and every FillTables box now reports its real disk space, backup freshness and venue count to the support console, so problems get spotted before you feel them. Nothing changes on your screens.

  • Desktop notifications for new orders. In the Dashboard's live orders rail, click the πŸ””+ button once per device β€” after that, a new online order pops up as a system banner even when the tab is hidden behind email. One click to switch on β€” do it on the front counter device.
  • No online order can be forgotten. If a paid online order sits unaccepted for 10 minutes, the system emails you automatically β€” even if every screen at the cafΓ© is off.
  • Booking slips at the pass. When a booking is confirmed, a slip can print on the Front printer β€” who, how many, when, table, and any allergy note printed big and last so it can't be missed. Off by default: switch on in Settings β†’ Printing.
  • "Live orders" now really means today. The live rail used to show the last 30 orders ever, so old cancelled tickets lingered for weeks. It now resets with the business day.
  • iPad fix: the "all bookings" agenda pop-up no longer renders half-white on the iPad.

🧭 25 July 2026 v2.18 – v2.23

  • The Dashboard menu was reorganised into 7 clear groups (Service Β· Money Β· Reports Β· Menu & tables Β· Team Β· Customers Β· Setup). Tested: people find things on the first click 98% of the time, up from 69%. This also fixed managers being locked out of the Printers page mid-service.
  • New "Channels" page (Customers β†’ Channels) β€” every way demand can reach you, free things first, with what each one actually costs shown honestly.
  • Photos report (Menu & tables β†’ Photos) β€” which dishes lack a photo, ranked by how much each one already earns, so a phone-camera hour goes where it pays most.
  • Payroll rates always current. Payslips now pick the right financial year's super and tax tables automatically (they were two years stale), and each payslip records which year's tables it used.
  • Delivery pricing fixed before it could cost money. Two latent bugs: a delivery menu could have gone out at dine-in prices (no markup), and delivery orders weren't counted in your menu-profit and food-cost reports. Both fixed before any aggregator went live.

Getting started

FillTables is your owned, all-in-one ordering stack β€” one system for online, dine-in and the kitchen, on an always-on cloud server. No monthly platform rent, no laptop to keep awake.

The pieces

  • Storefront (order.glidergarden.au) β€” where customers order online or from a table QR.
  • POS (pos.glidergarden.au) β€” the floor terminal staff use to take and fire orders.
  • Kitchen display / KDS β€” the same POS in kitchen mode; fired tickets land here to cook.
  • Dashboard (admin.glidergarden.au) β€” owner/manager control: today, reports, menu, staff, settings, import.
  • Website (glidergarden.au) β€” your public page, edited in Glider Studio.

Sign in

  • Open the Dashboard at admin.glidergarden.au β€” from any device (it's on the cloud, works anywhere).
  • Sign in with the owner email, or a staff PIN. Your real PINs are kept private with the owner β€” see All links for the roles.
  • Owners see everything; managers see all but the owner-only bits (Books, Staff, Integrity, customer import).
Tip: the whole stack runs on an always-on cloud server with secure HTTPS. If it ever reboots, everything comes back on its own β€” nothing to restart by hand.

Take an order

Three ways an order starts β€” all land on the same kitchen pipe.

On the floor (POS)

  • Open the Waiter POS (All links), unlock with a staff PIN.
  • Pick a table (or "takeaway"), tap items to build the order.
  • Fire to kitchen β€” it appears on the KDS instantly.
  • Take payment: cash (quick-tender buttons + change) or card (tap-to-pay / Pay now).

Online & table-QR

  • Customer scans the table QR, or opens order.glidergarden.au/glider-cafe-1rll.
  • They build a cart; upsells suggest "goes well with" items.
  • They choose Pay now (card, fee shown up front) or Pay at the counter.
  • Name + mobile are captured for the order tracker and your customer book.
  • The order hits the kitchen; the guest watches it on the live tracker (Received β†’ Cooking β†’ Ready).
Prices can't be tampered with: the phone only ever sends item ids + quantities β€” the server prices every order and adds GST. That's the security boundary.

Kitchen display (KDS)

Put it on the kitchen iPad; tickets flow received β†’ cooking β†’ ready.

Working a ticket

  • Open the Kitchen display (All links) and sign in with the kitchen PIN.
  • New tickets land in the received rail; tap Start prep to begin (the timer starts).
  • Tap Ready when it's up β€” the guest's tracker flips to "Ready" and the pass shows it done. Allergen tags show in red.
  • The grid adapts to the number of tickets so nothing is cramped on a busy rush.
Who can bump: Start prep / Ready is gated to the real kitchen role. A waiter signed in on the kitchen screen will see "lacks order:prep" β€” that's the permission system protecting the line, not a bug. Sign the KDS in with the kitchen PIN.

Import menu & customers

Switching from another platform? Don't re-type a thing β€” drag it in.

Bring your menu in

  • Dashboard β†’ Setup β†’ Import, choose the Menu tab.
  • Drag in a spreadsheet/CSV export, or a photo/PDF of the printed menu (or click to choose). Paste-as-text is a fallback.
  • For a spreadsheet, use Import without AI (map columns) β€” pick which column is name/price; no key needed. Or Read with AI for a photo.
  • You get a review list β€” new / update / skip, each price shown to confirm. Fix anything, then Publish. A backup is taken; Undo in one click.

Bring your customers in

  • Owner-only (it's personal info). Same flow on the Customers tab β€” drag a CSV/spreadsheet, map the name / mobile / email columns.
  • Duplicates are caught by mobile (normalised to +61); opted-out contacts are suppressed automatically.
No key needed for spreadsheets: the column-mapping import is deterministic β€” it works with no AI key. AI reading (a photo / messy paste) is optional and needs an Anthropic key in Settings β†’ API keys.

Troubleshooting

Common fixes

Is everything running?
Open the health check β€” it should say ok: api.glidergarden.au/health
A screen looks stuck
Pull-to-refresh / reload the tab. The cloud keeps running; a device just needs a fresh page.
Waiter can't "Start prep"
That screen is signed in as a waiter. Sign the kitchen screen in with the kitchen PIN β€” only kitchen/manager/owner can bump a ticket.
A dockets printer is quiet
Check the printer is on and on the cafΓ© Wi-Fi. Dockets queue in the cloud and print when it reconnects β€” nothing is lost.
A test order to remove
Void it on the Dashboard β†’ Live floor (manager/owner PIN).
Still stuck? The server is always-on and auto-recovers after a reboot. If something looks wrong across every device (not just one), the owner can reach the FillTables operator.
